Eligibility for Returns

We accept returns under the following conditions:

  • Time Window: Return requests must be initiated within 30 days of the delivery date as confirmed by your tracking information.
  • Product Condition: Items must be unused, unopened, and in their original, unaltered packaging. Products that show signs of use or tampering are not eligible for return.
  • Proof of Purchase: A valid order number or proof of purchase is required for all return requests.

Non-Returnable Items

Due to safety, health, and regulatory requirements specific to the refrigerant industry, the following items cannot be returned under any circumstances:

  • Opened Refrigerants: Any refrigerant canister or cylinder that has been opened, punctured, or partially discharged.
  • Used or Partially Used Products: Any product that has been connected to a system or shows evidence of use.
  • Final Sale Items: Products explicitly marked as ‘Final Sale’ or ‘Non-Returnable’ at the time of purchase.
  • Custom or Special Orders: Items ordered in non-standard quantities or configurations specifically for your requirements.

How to Initiate a Return

To start the return process, please follow these steps:

  • Step 1: Contact our support team at support@smartrefrigerants.com with your order number and a clear explanation of the reason for your return.
  • Step 2: Our team will review your request and, if approved, issue a Return Merchandise Authorization (RMA) number along with return shipping instructions within 2 business days.
  • Step 3: Pack the item securely in its original packaging and clearly write your RMA number on the outside of the package.
  • Step 4: Ship the item back using a trackable shipping method. We strongly recommend retaining your shipping receipt and tracking number.

Please note: Returns shipped without an RMA number may not be processed and could be returned to sender.

Return Shipping Costs

  • Our Error or Defective Product: If the return is due to a product defect, damage on arrival, or an error on our part, we will provide a prepaid return shipping label at no cost to you.
  • Change of Mind or Incorrect Order: If you are returning an item due to a change of mind or because you ordered the wrong product, return shipping costs are the customer’s responsibility.

Refund Process

Once your returned item is received and inspected, we will notify you by email of the status of your refund. If approved, refunds are processed as follows:

  • Refund Method: Refunds are issued to your original payment method credit card, debit card, or PayPal.
  • Processing Time: Refunds are typically processed within 5–7 business days of receiving and inspecting the returned item.
  • Bank Processing Time: Once issued, it may take an additional 3–5 business days for the refund to appear in your account, depending on your bank or card issuer.

We will send you a confirmation email as soon as your refund has been issued.

Exchanges

If you would like to exchange an eligible item for a different product, please contact our support team within 30 days of delivery. Exchanges are processed in the same manner as returns. Any price difference between the original and replacement item will be charged or refunded accordingly. Availability of the replacement item cannot be guaranteed at the time of exchange request.

Damaged or Defective Items

If your order arrives damaged or you receive a defective product, please contact us within 48 hours of delivery. Include your order number and clear photographs of the damaged or defective item and packaging. We will prioritize your case and arrange an immediate replacement or full refund at no cost to you whichever you prefer.
